Position Summary
The Project Coordinator will work in a dynamic, collaborative clean-tech building
materials environment. Their core responsibilities include documentation and administrative support to the Project Manager and project execution team. The Project Coordinator works in concert with multiple project managers to ensure consistent delivery of services and assure internal commitments are met. Researches and obtains information for routine and moderately complex reports, tasks, and assignments. We seek a self-starter that is detail-oriented, has good knowledge of construction processes, displays good interpersonal skills, and enjoys the challenges of working in a
dynamic, collaborative start-up environment. This position is remote but may require occasional travel (10%) to the company HQ in California or to job sites.
Essential Responsibilities
- Maintain key View milestones for each project, coordinates with PM’s, engineering, and other internal team members to ensure all milestones are updated and accurate
- Coordinates with Accounting to ensure project costs are collected accurately
- Maintains job-specific documentation throughout construction for ease of Operation and Maintenance document creation for customer turnover
- Prepare correspondence, presentations, and/or reports as required
- Follow-up on correspondence and outstanding requests for resolution
- ln concert with PM maintains and/or creates all subcontracts if required for a project Coordinates Sales to Ops and Ops to Engineering turnover meetings, maintains minutes
- Assists PM with financial management, contractor invoices, working with internal AP as well as external AR/AP depts.
- Aid Project Managers with submittal creation and maintenance; project closeout documentation; change order log maintenance; punch lists; ops to service turnover
- Maintains accurate Project Contacts list (sales contact, GC, electrician, glazier, etc)
- Ability to work cross-functionally with sales, product marketing, project management, product engineering, operations, and construction trades
- Occasional direct communication with Customers and Construction Project Teams requires strong communication and conflict resolution skills
- Exercise judgment for managing escalations, priority setting, conflict resolution when facing multiple and concurrent project issues
- Create, define, document, and implement processes and systems to support the business needs
Desired Skills And Experience
- Less than 5 years experience in Project Management in building construction for General contractors, HVAC, Controls, Lighting, Low Voltage, or similar industry.
- Excellent communication skills and ability to listen to details attentively
- Demonstrated ability to produce quality work in a fast-paced environment
- Proven ability to identify and work effectively with key stakeholders on complex cross-team projects or problems
- Experience with glazing systems and/or building automation/controls products for commercial markets is highly preferred
- Strong computer skills with controls programming/configuration/diagnostics and Microsoft Office
- Familiarity reading, interpreting, and redlining architectural, electrical, and controls drawings and schematics
- Ability to shift focus among multiple priorities quickly. High tolerance of ambiguity and flexibility with respect to job roles
EDUCATION
Bachelor’s degree or equivalent experience in Project Management or Construction Management preferred
