Key Responsibilities

1. Provide general administrative support for the SVP, Operations, and act as a resource for

greater departmental leadership

2. Manage, file, and respond to routine and non-routine correspondence and communications

while maintaining confidentiality of sensitive information

3. Perform rapid recording of verbal dictation

4. Manage schedules across time zones globally and perform heavy calendar maintenance

5. Coordinate meetings and conferences ensuring all materials are obtained and directed

appropriately

6. Track, organize, and route all departmental expenses (including vendor invoices and

expense reports)

7. Develop and distribute agenda and minutes for all department meetings as well as track

ongoing projects

8. Project work as needed (e.g. research, presentation preparation, etc.)

9. Management of files on SharePoint site (i.e. group librarian)

10. Work closely with the other administrative members of the team to ensure streamlined

processes

11. Book travel and manage itineraries with an understanding of team schedule and

preferences

12. Proactively build and document departmental processes as well as identify opportunities

for improved efficiency and innovation

13. Develop an understanding and familiarity of clients and business contacts to effectively

manage requests.

14. Strong project management skills

15. Comfortable in a high-pressure environment

Skills and Qualifications

Education and Experience

High school diploma required; Bachelor’s preferred. Two (2) years of administrative experience, preferably within a fast-paced business environment, or entertainment, tourism, and hospitality.

Skills and/or Abilities

Must be proficient in Microsoft Office and various video conferencing technologies. Thorough knowledge of grammar, punctuation and spelling. Must have a strong attention to detail. Willingness to participate in special projects and quickly get up to speed; strong comprehension skills are necessary. Willing to work late on occasion when necessary.

Communication Skills

Must demonstrate strong verbal and written communication skills. Superb teamwork and interpersonal skills with ability to build strong working relationships. Advanced organizational skills, with ability to multi-task and prioritize in a fast-paced business environment. Ability to coordinate multiple workflows and simultaneous deliverables.
