Job Description:

The Administrative Assistant position is a highly visible role, responsible for providing support to the Management Team at Calgary Financial Centre Branch. The Administrative Assistant contributes to the overall success of the branch by greeting and directing clients; taking and relaying messages for the branch; producing documents, reports, and presentations as well as providing overall administrative support in an accurate and timely manner, while adhering to Bank security and operational procedures and policies. Service is provided in a matter consistent with Scotia Service Standards and Complaint Resolution Procedures.

Job Responsibilities:

  • Greeting clients courteously and escorting or directing to the appropriate personnel
  • Responding to client inquiries or escalating as appropriate
  • Arranging for conference calls
  • Ensure unit is maintained in such a manner to present a professional image
  • Provide every client with service that demonstrates respect and knowledge, in a manner that makes the client feel welcome and shows that their business is appreciated
  • Answering incoming telephone calls in a prompt and professional manner, relaying/redirecting callers to appropriate person or offering to take messages or re-direct calls to personal voice mails as determined by departmental procedures
  • Providing basic information to callers (hours of business, address)
  • Accepting and/or signing for deliveries and arranging for courier service
  • Screening visitor(s) who arrive unannounced and without appointments

Job Requirements:

  • Working knowledge of regulatory compliance related to Privacy, Anti-Money Laundering (AML), Anti-Terrorist
  • Financing (ATF), Know Your Client (KYC) requirements, Canada Deposit Insurance Corporation (CDIC),
  • Thorough knowledge of Branch systems (Forms Free Teller (FFT), Intralink, Sales Builder, HR Passport, My Learning Centre, etc.)
  • Working knowledge of transactional services and associated procedures
  • Thorough knowledge of Branch routines and operating procedures, as applicable
  • Working knowledge of the Bank’s Retail and Commercial Banking products and services
  • Financial Consumer Agency of Canada (FCAC), Occupational Health & Safety (OHS) as well as SSI guidelines/process

Qualification & Experience:

  • Thorough knowledge of Microsoft Office Word, Microsoft Office Excel, Microsoft Office PowerPoint
