Essential Job Functions
The Administrative Assistant provides support to the team members within the Firmwide Legal Recruiting & Development (“LRD”) Department for each Kirkland & Ellis Los Angeles offices (Downtown & Century City). This role is an entry-level support position responsible for assistance throughout the overall administration of the attorney life cycle within the LRD department. Responsibilities include, but are not limited to: support of recruiting efforts (on campus, lateral recruiting, Summer Associate Program, maintenance of the applicant tracking system, etc.), support of attorney education and development programs, attorney integration, and general administrative responsibilities as assigned.
Essential Job Functions
The Administrative Assistant is the point of contact for and supports the Legal Recruiting & Development Department. Essential job functions are as follows:
- Provide administrative support:
- Organize and execute significant scheduling tasks
- Maintain calendar and address book
- Escort candidates, meet and greet guests
- Schedule and arrange meetings
- Make travel arrangements
- Organize monthly LRD team lunches
- Organize and execute events, such as lunches, dinners, receptions, seminars:
- Assist with various recruiting events (Summer Associates, On Campus), trainings – nametag, check-in tables, etc.
- Assist with Practice Group meetings, breakfasts, and events
- Work with Conference Center and Conference Technology for meeting, training, & event needs
- Prepare expense reports and check requests
- Process all team invoices
- Process manager expenses
- Track team budget, consulting with others for tracking in master budget
- Gather & review requests for signatures for all contracts
- Establish and maintain files and materials
- Filing and other administrative duties as assigned
Qualifications

Education, Work Experience, Skills
A Bachelor’s degree or equivalent experience and at least three years of experience in an office setting and providing administrative support is required; experience working for a law firm is preferred. The ideal candidate will be highly organized, possess excellent proofing and communication (oral and written) skills; the ability to multitask in a fast-paced environment; a very strong attention to detail; and a professional demeanor.
Additionally, the ideal candidate will possess strong interpersonal skills with the ability to build relationships among lawyers and staff to achieve results. This position requires collaboration with attorneys and staff and the ability to exercise independent judgment. It also requires a significant amount of overtime during our busy summer and fall seasons.
WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
