Job Description:

Mission Control Systems is looking for a motivated and dedicated Staff Assistant Level 2. We are seeking a person that can provide administrative & clerical support to multiple technical groups within the Section and back‐up support to the Section Office. This is primarily an administrative support position that will showcase your outstanding customer service, organizational and communication skills. You will be a member of the Business Administration Group and report to the Business Administration Manager.

Job Responsibilities:

  • Handling Section Management and technical group members’ calendars in Outlook and coordinating large meetings.
  • Providing office support to Section Management team and multiple technical groups within the section, while demonstrating the ability to maintain patience and composure in a dynamic work environment that includes interruptions and changing priorities.
  • Submitting iProcurement and Pcard orders
  • Providing back-up coverage for the Section and other groups as needed.
  • Assisting with preparation of presentations, graphics, and website/wiki inputs, including proofreading and editing.
  • Maintaining conference room schedules
  • Process and prepare domestic and foreign travel itineraries, authorization requests, and expense reports.
  • Perform ad hoc duties as assigned.

Job Requirements:

  • Advanced skills in MS Office Suite (Word, Excel, PowerPoint, Access, Outlook, etc.).
  • Demonstrated ability to successfully handle discreet information.
  • Consistent track record to work efficiently on multiple tasks while meeting commitments with high quality results and output.
  • Prioritizing work and completing assignments accurately and in a timely manner.
  • Proven understanding of general job aspects specifically in the secretarial/administrative support profession with strong interpersonal skills.
  • Motivated self-starter who takes the initiative to perform activities and resolve unusual or nonstandard problems.
  • Willingness to learn new technologies and tools to enhance and/or improve office procedures and processes.
  • Excellent customer service and teaming skills.
  • Knowledge of JPL/ESD policies, procedures, and practices.
  • Ability to identify, learn, and apply new processes to improve business operations

Qualification & Experience:

  • Experience using JPL-based tools such as Concur, Service Order Modules, WAMs, Property Manager Gateway Administrator, JPL Wiki, GSuite and JPL-ID.
  • Typically requires a High School diploma with a minimum of 6 years of related experience; Associates degree with a minimum of 1 year of related experience; related required training.
  • Experience with JPL foreign and domestic travel processes and requirements.
