The Executive Administrative Assistant will perform an array of high-quality administrative functions critical to running a fast-paced organization efficiently. In this role, you are a jack of all trades! A quick thinker, your flexibility and adaptability are key to constantly changing demands and priorities. You are resourceful and autonomous when taking on new tasks and projects relying on problem-solving skills to make it all work! This position requires attendance in the office.

Primary Responsibilities:

  • Provide administrative assistance to the CEO, including preparing communications, and writing and editing emails
  • Manage the CEO’s calendar, including making appointments and prioritizing the most sensitive matters
  • Organize general meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Answer, screen, transfer and document inbound and outbound phone calls
  • Update and maintain GYMGUYZ proprietary documents
  • Assist the Long Island corporate territory with daily requirements
  • Assist with GYMGUYZ University requirements
  • Create, maintain, and enter information into GYMGUYZ databases (Zoho, Mindbody, ClubConnect, MasTrack, Instagram, Facebook)
  • Provide reports for various departments pertaining to GYMGUYZ databases (Zoho, Mindbody, ClubConnect, MasTrack, Clayton Kendall, Scorpion)
  • Perform out-of-office tasks, as required
  • Perform general office clerk duties and errands
  • Help organize and maintain office common areas
  • Other responsibilities as assigned


  • 3 – 5 years administrative experience
  • Excellent written and verbal communication skills
  • Computer skills including Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Knowledge of clerical and administrative procedures and systems
  • Strong organizational and interpersonal skills
  • Strong problem-solving skills
  • Strong time management skills
  • Ability to handle multiple tasks simultaneously in a fast-paced environment, and prioritize, accordingly
  • Strong attention to detail, team mentality, and a positive attitude
